1. Purpose and Scope
This Privacy Policy explains how Matthew Huntley, carrying on business as JotCam, collects, uses, discloses, protects, and retains personal information in connection with the Website, App, support, and related communications.
The App is designed for Android and iOS and is planned for distribution through Google Play and Apple’s App Store.
This policy distinguishes between:
information handled locally by the App, which JotCam generally does not receive; and
information processed through the Website, support communications, app stores, or exports you initiate, which may be received by JotCam or another service provider.
This policy applies to personal information under JotCam’s control. It does not govern an employer, client, app store, cloud provider, device manufacturer, operating-system provider, linked website, or other third party acting independently.
2. Privacy at a Glance
JotCam does not operate a cloud photo library for your field photos.
Photos, notes, project or session information, markup, logos, and generated reports are designed to remain on your device unless you deliberately export or share them.
JotCam does not use advertising SDKs or sell personal information.
JotCam does not use your field photos, notes, or reports to train artificial-intelligence models.
The Website’s host, content-delivery network, and security services may automatically process limited technical information needed to deliver and protect the Website.
If you contact JotCam or join a mailing list, JotCam receives the information you choose to provide.
Apple or Google and RevenueCat process limited purchase and entitlement information. They do not receive your locally stored field content through JotCam’s purchase workflow.
Core capture and reporting features work offline, but internet access is required for purchases, restores, and occasional entitlement validation.
3. Accountability
JotCam is responsible for personal information under its control and has designated a Privacy Officer to oversee its privacy practices.

4. Information the App Handles Locally
Depending on the features you use, the App may handle the following information on your device:
photographs and imported images;
date and time information;
precise location, coordinates, coordinate format, and location accuracy;
compass heading and cardinal direction;
project names, site labels, sessions, notes, templates, and annotations;
photo markup;
a company logo selected for reports;
generated PDF reports; and
App settings and preferences.
The core App is designed to process and store this information locally. JotCam does not receive or remotely access it merely because you use the App.
Your device and operating system may separately create backups, synchronize files, or make content available to services you enabled. Those activities are controlled by you and the relevant provider, not by JotCam.
5. Device Permissions
The App may request permissions for:
Camera: to capture photographs;
Photos, media, or files: to import images, save outputs, create reports, or export selected files;
Precise location: to add coordinates or other location context when you enable location stamping;
Compass or motion sensors: to calculate and display device heading; and
Network access: to open support or legal pages; purchase, restore, or occasionally validate Pro access; or complete an export or third-party sign-in that you initiate.
JotCam does not use precise location for advertising or background tracking. Location and sensor information are used to provide the field-documentation feature you selected. You can deny or revoke permissions through device settings, although related features may stop working.
6. Information JotCam May Collect
6.1 Information you provide
JotCam may collect information you voluntarily provide, such as:
your name, email address, organization, and message when you contact us;
support requests, troubleshooting details, attachments, and correspondence;
feedback, survey responses, or beta-testing information;
your email address and consent record if you subscribe to product or marketing updates; and
information needed to respond to a privacy request, legal inquiry, or complaint.
Do not send confidential project photographs, personal information about others, or sensitive business information in a support request unless it is necessary and you are authorized to do so. Where possible, remove or obscure unrelated personal information first.
6.2 Website technical information
When you visit the Website, the Website’s hosting, content-delivery, security, and server systems may automatically process:
IP address;
browser and device type;
operating system;
requested pages and files;
date, time, and approximate request location derived from the IP address;
referring page;
cookie or security-token information; and
error, performance, and security-event logs.
This information is used to deliver the Website, prevent abuse, diagnose problems, maintain security, and understand basic service operation. JotCam should configure providers to collect no more than reasonably necessary.
6.3 Purchases, RevenueCat, and Entitlements
Apple App Store or Google Play processes the actual payment for JotCam Pro. JotCam does not receive complete payment-card or bank-account information.
JotCam uses RevenueCat as its purchase-validation and entitlement service provider. RevenueCat receives an anonymous App User ID, purchase history, transaction or receipt information, entitlement status, store and App information, device or operating environment information, locale, currency, and limited technical request information as necessary to provide the service.
JotCam and RevenueCat use this limited information for App functionality, purchase validation, fraud prevention, restoring purchases, customer support, entitlement administration, and purchase analytics. JotCam does not use it for advertising or cross-app tracking and does not use IDFA or Android advertising identifiers for advertising.
RevenueCat does not receive JotCam photos, field notes, report notes, markups, GPS coordinates, project or session information, company logos, or generated reports.

6.4 Diagnostics and crash information
JotCam does not embed third-party behavioural analytics or advertising SDKs in the App. If you voluntarily send diagnostic information to support, or if an app store provides a crash report under its own service, JotCam may receive technical information such as device model, operating-system version, App version, crash time, stack trace, and error state.
Do not include User Content in diagnostics unless you intentionally attach it. JotCam will not use diagnostic information for advertising or to build a behavioural profile.
6.5 Exports and third-party integrations
When you choose to export or share a photo, report, or other file, the selected content is transmitted to the destination you chose. That may include email, messaging, local storage, a network drive, another device, or a cloud service.
JotCam does not operate its own cloud photo storage. If an optional provider integration is available:
you choose whether to connect it;
the provider authenticates your account under its own policies;
the App requests only the permissions reasonably required for the feature;
selected content is sent to that provider at your direction; and
you can disconnect the integration through the App or provider settings, subject to the implemented controls.
Disconnecting an integration does not automatically delete files already exported to the provider.
7. Sources of Information
JotCam may obtain personal information:
directly from you;
automatically from Website infrastructure;
from an app store or platform provider;
from a service provider acting for JotCam; or
from an employer, colleague, or other person who contacts JotCam about a legitimate business matter involving you.
JotCam does not purchase consumer data lists or obtain information from data brokers for targeted advertising.
8. Purposes for Collection, Use, and Disclosure
JotCam may use personal information to:
provide, operate, secure, and maintain the Website and any online features;
respond to questions, support requests, feedback, and privacy requests;
administer beta testing or a launch list;
send product news or marketing messages where JotCam has the consent or other legal authority required;
process and reconcile store purchases, refunds, taxes, and fraud issues using information made available by the store;
diagnose errors, investigate abuse, protect users, and improve reliability;
understand aggregate Website operation without building advertising profiles;
establish, exercise, or defend legal rights;
comply with laws, court orders, regulatory requests, and lawful investigations; and
complete a business transaction such as a financing, reorganization, sale, or transfer, subject to appropriate confidentiality and legal safeguards.
JotCam will not use personal information for a new materially different purpose without notice and any consent required by law.
9. Consent and Other Legal Authority
Where consent is required, JotCam seeks consent appropriate to the sensitivity of the information and the reasonable expectations of the individual. Consent may be express or implied where applicable law permits.
Some processing is necessary to provide a feature you request, respond to you, protect the Services, comply with law, or pursue other reasonable purposes permitted by applicable privacy law. You may withdraw consent to optional processing, subject to legal or contractual restrictions and reasonable notice. Withdrawal will not affect processing that already occurred lawfully.
JotCam will not require consent to an optional collection, use, or disclosure as a condition of providing a feature that does not reasonably need it.
10. Cookies, Similar Technologies, Analytics, and Advertising
The Website may use strictly necessary cookies or similar technologies for security, traffic management, fraud or bot prevention, and core Website operation. A hosting or content-delivery provider may set such a cookie as part of protecting the Website.
As of the date of this policy, JotCam does not intend to use third-party behavioural advertising, cross-site tracking, or non-essential analytics on the Website. If JotCam later adds non-essential analytics, advertising, embedded media, or similar technology, this policy and the Website’s consent controls will be updated before or when required by law.
Browser “Do Not Track” signals are not governed by a universal standard. JotCam does not use Website data for cross-site behavioural advertising. You may block cookies through your browser, but doing so may affect Website security or functionality.
11. Marketing Communications
JotCam will send commercial electronic messages only where permitted by law. Where required, JotCam will obtain consent, identify the sender, provide contact information, keep appropriate consent records, and include a working unsubscribe method.
You may unsubscribe through the link in a message or by contacting JotCam. Transactional or service communications, such as a response to your support request or a legally required notice, are not marketing messages and may continue where appropriate.
12. When Information May Be Disclosed
JotCam may disclose personal information only as reasonably necessary to:
hosting, content-delivery, security, email, customer-support, and other service providers acting for JotCam;
app stores and platform providers in connection with purchases, distribution, fraud, support, or compliance;
professional advisers such as lawyers, accountants, and insurers under duties of confidentiality;
law-enforcement, courts, regulators, government bodies, or other parties where disclosure is required or permitted by law;
a prospective or completed purchaser, investor, lender, or successor in a business transaction, subject to appropriate safeguards; or
another person with your direction or consent.
Service providers are authorized to process information only for the services they provide or as law permits. JotCam does not authorize them to use JotCam-controlled personal information for their own targeted advertising.
13. No Sale of Personal Information
JotCam does not sell or rent personal information. JotCam does not share personal information for cross-context behavioural advertising and does not use User Content to train artificial-intelligence models.
If JotCam’s practices change, JotCam will update this policy and provide any choices or notices required by applicable law before the change takes effect.
14. International and Interprovincial Processing
JotCam is based in Alberta, Canada. Website, email, app-store, security, or other service providers may process information in Canada, the United States, or other countries. As a result, information may be subject to the laws and lawful access processes of the place where it is processed.
JotCam remains accountable for personal information transferred to a service provider for processing, as required by applicable law, and uses contractual, organizational, and technical measures appropriate to the circumstances.
15. Retention
JotCam retains personal information only as long as reasonably necessary for the identified purpose, a compatible legitimate purpose, or a legal requirement. Retention depends on the nature of the information and may include:
contact and support records for as long as needed to respond, maintain a reasonable support history, resolve disputes, and meet legal obligations;
mailing-list information until you unsubscribe or JotCam no longer needs the list, with minimal suppression information retained where necessary to honour an unsubscribe request;
transaction and tax records for the period required by financial and legal obligations;
security and technical logs for a limited operational period determined by security, troubleshooting, provider configuration, and legal needs; and
privacy requests and complaints for as long as needed to demonstrate compliance and manage the matter.
When information is no longer required, JotCam will delete, anonymize, or securely dispose of it, subject to backups and legal holds.
You may request deletion of the RevenueCat customer record associated with your anonymous App User ID by emailing jotcamsupport@gmail.com. JotCam will delete the associated RevenueCat customer record where legally and operationally permitted. Apple and Google independently retain transaction records under their own legal obligations and privacy policies; deleting RevenueCat records does not delete records controlled by Apple or Google.
User Content stored only on your device remains until you delete it, remove the App, clear App storage, or the device or operating system removes it. JotCam generally cannot delete or recover local User Content because JotCam does not possess it. Files you export are retained by the destination according to your settings and the destination provider’s policy.
16. Safeguards
JotCam uses reasonable administrative, technical, and physical safeguards appropriate to the sensitivity and amount of personal information under its control. These may include access restrictions, secure service-provider configurations, encrypted network transmission, device and account security, software updates, confidentiality requirements, and incident-response procedures.
No method of storage or transmission is completely secure. JotCam cannot guarantee absolute security, especially for information stored on your device or transferred to a third party you choose.
You should:
use a device passcode and encryption;
keep the operating system and App reasonably current;
control access to photos and reports;
review export destinations and sharing permissions;
maintain backups required by your work; and
promptly revoke access if a device or connected account is lost or compromised.
17. Your Choices
You may:
deny or revoke device permissions, understanding that related App features may stop working;
choose not to provide optional information through the Website;
unsubscribe from marketing messages;
disconnect optional third-party integrations;
delete local User Content through the App or device, where supported;
delete exported files through the destination provider; and
request access to or correction of personal information under JotCam’s control; and
request deletion of the RevenueCat customer record associated with your anonymous App User ID, where legally and operationally permitted.
If your employer manages your device or account, your choices may be affected by its policies and technical controls.
18. Access, Correction, Deletion, and Other Privacy Rights
Subject to applicable law, you may ask JotCam to:
confirm whether JotCam holds personal information about you;
provide access to that information and an account of its use or disclosure;
correct inaccurate or incomplete information;
withdraw consent to optional processing;
delete information that JotCam is not legally required or permitted to retain; or
provide information about JotCam’s privacy practices and service providers.
Send a written request to the Privacy Officer using the contact information in Section 3. JotCam may need to verify your identity before responding. JotCam will respond within the period required by applicable law and may refuse or limit a request where the law permits or requires, such as where disclosure would reveal another person’s information, confidential commercial information, privileged information, or information connected to a legal proceeding.
Because JotCam generally does not receive locally stored User Content, JotCam cannot provide, correct, or delete photos, notes, markups, coordinates, project information, logos, reports, or other field content that exists only on your device or in a third-party account you control.
A deletion request may cover a RevenueCat customer record under JotCam’s control, but it does not cover transaction records independently controlled by Apple or Google.
Residents of some jurisdictions may have additional rights. JotCam will honour rights that apply to the relevant processing and may request information needed to establish jurisdiction and identity.
19. Children’s Privacy
The Services are intended for field professionals and general business users and are not directed to children under 13. JotCam does not knowingly collect personal information directly from children under 13 through the Website.
If you believe a child provided personal information to JotCam without appropriate consent, contact the Privacy Officer. JotCam will investigate and take appropriate steps. Adults using the App are responsible for obtaining any permission required before photographing or recording information about minors.
20. Privacy Incidents
JotCam maintains procedures to assess and respond to suspected unauthorized access, use, loss, or disclosure of personal information under its control. Where a privacy incident creates a level of risk that triggers notice or reporting obligations, JotCam will notify affected individuals and regulators as required by applicable law.
JotCam cannot monitor or respond to an incident involving content stored only on your device or in a third-party account unless you inform JotCam and the incident involves JotCam’s systems or responsibilities.
21. Automated Decisions and Artificial Intelligence
JotCam does not use personal information collected through the Website or App to make decisions that produce legal or similarly significant effects about individuals. JotCam does not use User Content to train artificial-intelligence models.
If JotCam later introduces an AI-enabled feature that processes User Content or personal information, JotCam will provide additional notice, explain whether processing occurs on-device or remotely, identify relevant service providers, and obtain any consent required before the feature is used.
22. Additional Information for United States Residents
This section supplements the rest of the Privacy Policy for residents of the United States. Privacy rights differ by state and may depend on thresholds, exemptions, the type of information involved, and JotCam's activities. JotCam will honour rights that apply to the relevant processing. JotCam may also respond voluntarily to a reasonable request even where a particular state statute does not apply.
22.1 Categories of personal information
During the preceding 12 months, or since JotCam began operating if shorter, JotCam may have collected or processed the following categories of personal information:
Identifiers: name, email address, organization, IP address, online identifiers, app-store transaction identifiers, and information used to verify a privacy request;
Customer-record and correspondence information: support messages, feedback, beta-testing information, attachments you choose to provide, and records of privacy requests or complaints;
Commercial information: App product, purchase, refund, country, currency, and transaction information made available by an app store, but not full payment-card information;
Internet or electronic-network activity: Website pages and files requested, referring page, browser and device information, cookie or security-token information, error logs, and interactions with Website security systems;
Device and diagnostic information: device model, operating-system version, App version, crash time, stack trace, and error information voluntarily submitted or made available by an app store;
Professional or employment-related information: organization, job role, or work context if you include it in a contact, support, beta, or business inquiry; and
Approximate geolocation: a coarse location that may be inferred from an IP address for security, localization, or basic Website operation.
The core App may process precise location, photographs, notes, project information, compass information, and other User Content locally on your device. JotCam does not collect that locally processed information merely because the App handles it. If you intentionally send it to JotCam in a support request, it becomes information JotCam receives. If you export it directly to a third-party provider, that provider processes it under its own terms.
JotCam does not create advertising profiles or infer sensitive characteristics from personal information.
22.2 Sources, purposes, and recipients
JotCam obtains the categories above from the sources described in Section 7 and uses them for the purposes described in Section 8. Depending on the context, JotCam may disclose relevant categories for operational business purposes to:
Website hosting, content-delivery, security, email, support, and other vendors acting as service providers or processors;
app stores and operating-system or platform providers;
professional advisers and insurers;
government bodies or other parties where disclosure is required or permitted by law; and
transaction participants in a financing, reorganization, sale, or transfer subject to appropriate safeguards.
JotCam does not authorize these recipients to use JotCam-controlled personal information for their own targeted advertising.
22.3 No sale, sharing, or targeted advertising
JotCam does not sell personal information for money or other valuable consideration. JotCam does not share personal information for cross-context behavioural advertising and does not process personal information for targeted advertising as those concepts are defined by applicable United States state privacy laws.
JotCam has not knowingly sold or shared the personal information of consumers under 16. JotCam does not disclose personal information to third parties for their own direct-marketing purposes.
If these practices change, JotCam will update this policy, provide any required notice, and implement legally required consent and opt-out mechanisms before the new practice begins.
22.4 Sensitive information and precise geolocation
Some United States laws classify precise geolocation, children's data, account credentials, government identifiers, biometric information, health information, and certain demographic information as sensitive data or sensitive personal information.
JotCam's field-documentation features can process precise location locally when you grant device permission and enable location stamping. JotCam does not use precise location for advertising, profiling, or background tracking, and does not receive it through ordinary local App use.
Do not send sensitive information to support unless necessary. If JotCam receives sensitive information at your request, JotCam will use it only for the disclosed and reasonably necessary purpose, protect it according to its sensitivity, and obtain consent where applicable law requires. JotCam does not use or disclose sensitive personal information to infer characteristics about an individual.
22.5 State privacy rights
Depending on your state and the law applicable to JotCam, you may have the right to:
confirm whether JotCam processes your personal information;
access personal information and obtain information about its categories, sources, purposes, and recipients;
obtain a portable copy of personal information you provided;
correct inaccuracies;
delete personal information, subject to legal exceptions;
obtain a list of specific third parties or categories of third parties to which information was disclosed, where required;
opt out of the sale of personal information, sharing for cross-context behavioural advertising, targeted advertising, or qualifying profiling;
limit certain uses or disclosures of sensitive personal information;
withdraw consent to processing that relies on consent; and
receive equal service and not be discriminated against for exercising a privacy right.
Because JotCam does not sell personal information, share it for cross-context behavioural advertising, conduct targeted advertising, or conduct qualifying profiling, those opt-out rights do not currently change JotCam's processing. JotCam will still record and respond to a legally valid request.
22.6 Submitting and verifying a request
Submit a United States privacy request to jotcamsupport@gmail.com with the subject line “U.S. Privacy Request.” Identify your state of residence and the right you wish to exercise. JotCam will provide an additional request method, such as an online form or toll-free number, if required by a law applicable to JotCam.
JotCam will use a verification process reasonably related to the sensitivity and scope of the request. Verification may require confirming control of an email address, matching limited information already held, or providing a signed declaration where law permits. Do not send government identification unless JotCam specifically requests it and provides secure instructions.
If JotCam cannot reasonably verify your identity, it may deny or limit the request and explain why where required. JotCam will not collect more information than reasonably necessary for verification.
Locally stored User Content is not accessible to JotCam. A privacy request to JotCam therefore cannot retrieve or delete photographs, notes, reports, or project data that exist only on your device or in a third-party account you control.
22.7 Authorized agents
Where applicable law permits, you may use an authorized agent to submit a request. JotCam may require evidence that the agent is authorized and may contact you directly to verify your identity and authority, unless the agent has a valid power of attorney or another exception applies.
22.8 Appeals
If JotCam denies a request and your state gives you a right to appeal, you may appeal by emailing jotcamsupport@gmail.com with the subject line “Privacy Appeal” and explaining why you believe the decision should be reconsidered. JotCam will review the appeal and respond within the period required by applicable law. Where required, JotCam will also explain how to contact the appropriate state attorney general or regulator.
22.9 California residents
For purposes of the California Online Privacy Protection Act, the categories of personally identifiable information JotCam may collect, the categories of third parties with whom it may be shared, the process for requesting changes, and the effective date and change process are described throughout this Privacy Policy.
If JotCam becomes subject to the California Consumer Privacy Act, as amended by the California Privacy Rights Act, California residents may exercise the applicable rights described in Sections 22.5 through 22.8. The categories described in Section 22.1 are JotCam's notice of categories collected during the relevant period. JotCam does not sell or share personal information as those terms are defined under California law and does not offer financial incentives or price differences in exchange for personal information.
California's “Shine the Light” law may permit residents to request information about disclosure of personal information to third parties for their own direct-marketing purposes. JotCam does not make such disclosures.
22.10 Nevada residents
Nevada residents may request to opt out of a future sale of covered information under Nevada law by contacting jotcamsupport@gmail.com. JotCam does not currently sell covered information.
22.11 Children in the United States
The Website and App are not directed to children under 13. JotCam does not knowingly collect personal information online from a child under 13. If JotCam gains actual knowledge that it has collected such information without legally valid parental consent, JotCam will take appropriate steps to delete it.
JotCam does not knowingly sell or share personal information of consumers under 16. Adults remain responsible for obtaining appropriate permission before photographing or documenting information about a minor through the App.
22.12 Universal opt-out signals and browser controls
JotCam does not currently engage in processing that requires an opt-out from sale, sharing, or targeted advertising. If JotCam later does so, JotCam will recognize legally required browser-based universal opt-out mechanisms, such as Global Privacy Control, in jurisdictions where they apply.
The separate browser “Do Not Track” discussion in Section 10 applies to tracking signals that are not legally recognized universal opt-out mechanisms.
22.13 United States privacy complaints
You may contact the Privacy Officer using Section 3. Depending on your state, you may also contact your state attorney general, the California Privacy Protection Agency, or another regulator with jurisdiction.
23. Changes to this Privacy Policy
JotCam may update this policy to reflect changes in law, technology, providers, or the Services. The “Last updated” date will identify the current version. If a change is material, JotCam will provide notice through the Website, App, email, or another appropriate method and obtain consent where required.
Earlier versions may be made available on request where reasonably practicable.
