THE FIELD PROBLEM
What this workflow solves
When photos live in a camera roll and observations live in a notebook, the office must match, rename and transcribe them before anyone can review the work. That delay makes omissions harder to fix and can leave the final report inconsistent.
Who it is for
- Inspectors and consultants preparing site-visit records
- Construction teams issuing progress, deficiency or closeout photos
- Environmental monitors compiling recurring observations
- Supervisors and contractors handing an organized record to clients
FIELD EXAMPLE
Preparing a weekly construction photo report
A site representative needs a concise Friday handoff covering progress, two deficiencies and one completed correction.
- Set up the visitOpen the project, start a dated session and confirm the project label and report information.
- Capture report-ready recordsTake useful overview and detail views, then add factual photo notes while each location is fresh.
- Add report-level contextUse report notes and custom report fields for information that belongs in the PDF rather than on each photo.
- Select the right layoutChoose Field Report for fuller entries or Photo Log for a compact visual summary, then set Letter or A4.
- Generate and checkReview photo selection, text, branding and page breaks before saving or sharing the PDF.
Result: The recipient receives one readable file that separates project-level information from photo-specific observations and keeps the visit together.
GOOD FIT
Use it when
- A reviewer needs photos and observations in one stable handoff
- The project requires a repeatable visit, inspection or progress record
- Selected field records need to be shared without opening the app
- A concise Photo Log or fuller Field Report matches the audience
NOT THE RIGHT TOOL
Do not rely on it when
- The organization requires a controlled corporate document-management template
- The workflow depends on real-time multi-user editing or automated approvals
- The recipient requires data in a system-specific format JotCam does not export
- The selected photos or notes have not been checked for confidential information
SETUP
Relevant JotCam settings
Field Report or Photo Log
Choose the fuller report for narrative context or the compact log for efficient visual review.
Letter or A4
Match the client, organization and printing convention before generating the file.
Company and inspector details
Add the names expected in the report header and check spelling before issue.
Custom logo
Use an approved PNG or JPEG in the PDF header; the logo is not burned onto individual photos.
Custom report fields
Add up to four labelled report-note fields for recurring project data that should also appear as separate CSV columns.
Record selection
Include the images that establish the visit and remove duplicates that add no new information.
LIMITATIONS
What the record can and cannot establish
- JotCam cannot determine whether the report meets a client, contractual, regulatory or records-management requirement.
- A generated report should be checked for omitted photos, incorrect notes, unreadable stamps and unintended confidential details.
- A PDF can be copied or changed after export; use the organization’s approved issue, storage and revision process.
- Local-first operation reduces cloud dependence, but users remain responsible for device backup and file retention.
FIELD CHECK
Common mistakes
Choosing a layout by habit
Use the Field Report when explanations matter and the Photo Log when the audience needs a compact image record.
Skipping the final PDF review
Open the generated file and check every page before it leaves the device.
Including near-duplicate photos
Keep each image only when it adds a viewpoint, work stage or condition.
Using vague photo notes
Identify the subject, location and observed condition so the report remains useful months later.
QUESTIONS
Questions about this workflow
What is the difference between a Field Report and a Photo Log?
A Field Report provides a fuller record presentation. A Photo Log is more compact and image-focused. Choose based on how much context the recipient needs.
Can I add company branding?
Yes. Pro supports company name, inspector name and an optional logo in the PDF header. The logo does not alter the individual photo files.
What are custom report fields for?
They are up to four labelled report-note fields for recurring project data. The values appear on PDF reports and in separate CSV columns, reducing later transcription.
Can I create a report without internet access?
Yes. Report generation occurs on the device. Sharing to a cloud or online destination may require connectivity.
